The back office for tattoo artists
You tattoo.
We run the front desk.
Qwalify answers your booking requests, collects deposits, fills cancellations from your waitlist, gets clients back to finish their sleeves, and turns healed photos into posts. It runs over text, in your voice, and you answer from your phone with a word or a thumbs-up. There's no app to learn.
- No cut of your bookings
- No contracts
- Your client list stays yours
- Zero AI art. Ever.
Sound familiar
The tattooing's the easy part.
The inbox
“How much for a small one?”
Hundreds of DMs, half with no placement, no size, no reference. The good requests get buried under the vague ones.
The empty chair
Friday, 11am. No-show.
You keep the deposit, but you lose the day. By the time you've posted a story about the opening, it's too late to fill.
The half sleeve
Session two never happened.
They meant to come back, then life got busy. Now there's an unfinished piece out there with your name on it.
The portfolio
Healed photos? You asked.
They forgot, so your feed is all fresh work. Clients want to see how it heals, and you can't show them.
The regulars
Two years, not a word.
Great clients drift away because nobody checked in. They didn't find someone better. Nobody reached out.
The website
Last updated: 2022.
“Tattoo shop near me” goes to whoever has a live site, a filled-out Google profile and fresh reviews.
How simple is it
Your whole back office is one text thread.
Artists don't have time to learn software, so we didn't build you any. Qwalify messages you when it needs you, on Telegram or by text, and you reply with a number or a thumbs-up. Everything else is handled for you.
- YESApprove a request“yes 600” sends the quote, the deposit link and the calendar in one go.
- 2Wrap up a sessionAfter each appointment: 1 finished, 2 needs another session, 3 no-show. One tap and the follow-up starts.
- 📷Drop your photosSend them over as you work. Each one comes back with a draft caption, ready for your site and Instagram.
- 👍Approve a postNothing goes on your Instagram without your thumbs-up, unless you switch on autopilot.
See it work
What your clients see, and what you see.
Pick a situation. On the left is the client's phone, in the middle is yours, and on the right is what Qwalify did in between.
Client's phone
Your phone
Example conversations. Names, prices and policies are placeholders. Yours will use your rates, your deposit rules and the way you talk. Qwalify is onboarding its first founding artists now.
What it does
The busywork half of a shop manager's job.
We set it up and run it. You don't configure anything, and it keeps working at 2am.
Booking desk
Requests in, deposits in
- Text, DM or website requests go to one short intake form: idea, placement, size, references, budget and availability
- You get a clean summary. Reply yes + price, consult or pass
- They pick a time from your open hours and pay the deposit to your own payment link
- Consent form with age check, health questions and a signed waiver, done on their phone before they arrive
No-show shield
Confirm, remind, prep
- Reply-C confirmation when they book
- Reminders at 7 days, 3 days and the day before
- Prep texts: eat, hydrate, what to wear, where to park
- Aftercare instructions the day after, in your words
Chair filler
Cancellations get refilled
- An open slot goes straight to your waitlist, and the first YES takes it
- Only offered to people whose time limit fits the slot
- The cancelling client gets a link to pick a new time, and your deposit policy is applied
- Got a gap? Text “OPEN fri 2pm 3h” and the list hears about it
Unfinished work
Sleeves get finished
- Mark a piece “needs more sessions” with one reply
- Once it's healed, they get offered your next dates
- Gentle nudges that back off if they say “later”
- Text LIST to see every open piece and how long it's been waiting
Healed-photo loop
Proof that it heals
- We ask for a daylight photo once the tattoo has settled
- Your touch-up policy goes out with the ask
- Photos go to your site's Healed gallery with the client's OK and yours
- Happy clients get a Google review ask
Regulars
Keep in touch without trying
- Check-ins for clients you haven't seen in a year or more
- Books-open and flash-day news from one text
- Birthday texts, plus holiday and gift card announcements
- Sent only to clients who opted in, and STOP always works
Your website
A site that looks like your work.
Your portfolio, healed gallery and booking on one page that keeps itself current. Every photo you approve shows up on it, on your own domain if you have one.
- Healed vs. fresh gallery. Clients want to know how it'll look in a year, so we show them.
- Booking built in. Requests go straight into your front desk, so nobody has to DM you.
- Found on Google. Search-friendly pages, your Google Business Profile kept fresh with your approved photos, and review requests.
- The answers clients ask for. Aftercare, deposit policy, how booking works, and whether your books are open.
Fine line & blackwork
Private studio · appointment only · healed work shown at 6+ weeks
Social, handled
Posts from your camera roll.
Send your finished pieces and healed shots as you go. Each one comes back with a caption written the way you'd write it, and once you approve, our team posts it to your Instagram and Google profile with your booking link. Up to 3 posts a week, as long as the photos keep coming.
We never generate tattoo designs and never post generated images. Every piece on your feed is your work, shot by you. The automation handles admin only.
Getting started
From yes to live. About 15 minutes of your time.
Day one · 15 minutes
Fill out your setup form
Your hours, rates, deposit rules, touch-up policy and how you talk. Upload your client list if you have one: a spreadsheet, or an export from Square or your booking app. Rather do it on a call? We'll fill it in with you.
Same day
Try it in test mode
Your portal and your Telegram assistant work right away. Text your booking line the way a client would, see every reply, and change any wording before a real client ever sees it.
Usually 1 to 3 weeks
Your booking line gets approved
US carriers require every business texting number to be registered. You reply to one verification text to confirm it's you, and we handle the rest. Meanwhile we set up your site, your Instagram instant reply and your Google profile.
Go live
Back to tattooing
Put your request link in your bio. From then on it's replies and thumbs-ups, plus a report on the 1st of every month showing what Qwalify booked back.
The math
Does it pay for itself? Run your numbers.
Move the sliders to match your shop. The estimates below are deliberately conservative.
Estimated extra bookings a month
Assumptions: half of open slots get refilled from the waitlist; 1 in 4 unfinished pieces comes back for a session within a year; 2% of lapsed clients book again within a year. This leaves out the hours you get back, new clients from your site and Google, and fewer no-shows. On your setup call we run this again with your real booking history.
Pricing
One flat price. No cut of your work.
Booking apps charge a percentage of every deposit or a fee on new clients. We don't. Texting is included.

Straight answers
Questions artists ask us.
Will it sound like a robot?
No. On the setup call we pick up how you talk: short or chatty, emojis or not, how you sign off. Every template is written in that voice, and you approve them before anything goes out. Clients just think you've gotten really organized.
Do I have to learn an app?
No. Everything happens in one message thread: Telegram if you use it, plain texts if you don't. There's a simple portal if you want to see your bookings, clients and numbers, but you never have to open it.
I already use Square / Porter / Booksy / Google Calendar.
Keep your calendar. If it can share a private calendar link (Google, Apple and Outlook all can, and most booking apps sync to Google), Qwalify reads your busy times so it never double-books you, and Qwalify bookings show up in your calendar too. If you'd rather drop a tool you're paying for, we import your client list.
Is it legal to text my old clients?
Appointment texts to people who booked with you are fine. Promotional texts (holidays, flash drops, win-backs) need the client's permission, so we collect it the right way: a checkbox on your intake form and an opt-in for your existing list. STOP always works, promotional texts say how to opt out, we never text at night, and your booking line is registered with the carriers. We don't cut corners here, because a spam flag would get your number blocked.
Who owns my client list?
You do. It's never shared or sold, and it's never used for anyone else's marketing. Download a full export from your portal anytime, and if you leave we delete it.
What if I don't like a post?
Then it doesn't go up. Every post comes to you as a draft first, and you reply 👍 or tell us what to change. Once you trust it, you can switch on autopilot.
My books are already full. Why would I need this?
Full books still get cancellations, and they still come with DMs, deposits, reminders and unfinished pieces. Busy artists use Qwalify to get that time back and to make sure every opening gets refilled. The waitlist is where full books earn more.
Can I pause for a guest spot or vacation?
Text PAUSE, or “PAUSE until dec 3”. New texters get your away message, booked clients still get their reminders, and everything picks back up when you text RESUME or the date arrives.
Is a bot writing to my clients?
Your clients get messages you've already approved, written in your voice, from your booking line. Software only sorts incoming texts (like spotting a reschedule) and drafts captions for you to approve. It never designs anything, never makes images, and never makes up a price. Prefer none of that? Switch off smart sorting and it runs on your approved templates and simple keywords only.
Do my clients know it's automated?
Yes. Texts come from “[Your name]'s booking line,” not from you pretending to be online at 2am. Anything that needs you, like a design question or an unhappy client, goes straight to your phone.
Where do deposits go? I use Square.
Into your own account. Clients pay through your own link (Square, Venmo, Cash App, PayPal or Stripe), tap “I've sent it,” and you confirm with one reply before the time is locked in. We never hold your money or take a cut. Don't take deposits? Switch them off and clients book straight away.
I do custom work. I don't quote over text.
Then you don't have to. Reply CONSULT and the client gets your consult booking link (paid or free, your call), and the quote happens there. See the “Consult first” example above.
How do I change something?
Message your assistant: “make my deposit $150”, “closed Sundays now”, “change the reminder to say bring ID”. Simple changes happen on the spot and it confirms back. Anything bigger, like a website change, goes to our team, and we answer in the same thread. You can also change everything yourself in your portal.
What number do my clients text?
Your booking line: a local number registered for your business. Your personal number stays private. Clients find it through the request link in your Instagram bio, your instant reply and your site.
What do you need from me to start?
Your setup form, partner access to your Instagram and Google profile (we send two-minute instructions), and one reply to the carrier verification text. That's it.
We're a walk-in shop.
Studio covers that: Google review asks, flash-day announcements, a text waitlist for walk-in days (clients text WAITLIST), and a site that says whether you're taking walk-ins. Booking tools are just one part of it.
